This Privacy Policy describes how HoaPro ("we", "us", or "our") collects, uses, and shares personal information when you use our website and services at https://hoapro.ai (the "Service").

1. Information We Collect

We collect the following categories of information:

  • Account information: your name, email address, phone number, and password (stored in hashed form) when you create an account or are invited by your association.
  • Association data: information your association and its members submit to the Service, such as unit records, announcements, maintenance requests, voting issues, documents, directory entries, and marketplace listings. This may include home addresses and dues or balance information maintained by your association.
  • Billing information: subscription and payment details processed by Stripe, our payment processor. We do not store full payment card numbers on our servers.
  • Onboarding information: details you provide when applying to bring your community onto HoaPro, such as your role and community size.
  • Usage information: log data such as IP address, browser type, pages visited, and timestamps, collected automatically when you use the Service.

2. How We Use Information

We use the information we collect to:

  • Provide, maintain, and improve the Service;
  • Authenticate users and enforce role-based access within each association;
  • Process subscriptions and send billing-related communications;
  • Send service communications, such as announcements from your association, password resets, and important notices;
  • Respond to support requests;
  • Protect the security and integrity of the Service and comply with legal obligations.

3. How We Share Information

We do not sell your personal information. We share information only in the following circumstances:

  • Within your association: content you submit is visible to other members of your association according to the role-based permissions configured by your association’s administrators.
  • Service providers: we use trusted third parties to operate the Service, including Stripe (payments), Amazon Web Services (file and image storage), Vercel (hosting), Neon (database hosting), and Resend (email delivery). These providers process data only as needed to provide their services to us.
  • Legal requirements: we may disclose information if required by law, subpoena, or to protect the rights, safety, and property of HoaPro, our users, or the public.
  • Business transfers: if HoaPro is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

4. Cookies and Sessions

The Service uses session cookies to keep you signed in and to secure your account. These cookies are essential to operating the Service. We do not currently use third-party advertising or cross-site tracking cookies.

5. Data Retention

We retain personal information for as long as your account is active or as needed to provide the Service to your association. When an association leaves the Service, it may request an export of its data. We may retain certain information as required for legal, billing, or security purposes.

6. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, including encrypted connections (HTTPS), hashed passwords, and role-based access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Choices and Rights

You may update your account information within the Service or by contacting us. Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information. To exercise these rights, contact us at hoaproai@gmail.com. Note that much of the data in the Service is controlled by your association, and we may direct certain requests to your association’s administrators.

8. Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us and we will delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the Service or by email before the changes take effect. The "Last updated" date above reflects the most recent revision.
